ABOUT LSJA: 
The Lone Star Justice Alliance (LSJA) is a nonprofit legal organization that improves the lives of youth and emerging adults in the criminal justice system. We envision a justice system that uses developmentally-appropriate responses to behavior and treats youth and emerging adults with equity and dignity to promote resilience, conserve costs, and increase public safety. 
 
 
ABOUT YOU: 
LSJA is seeking a full-time Executive Assistant with bookkeeping experience to join its staff in Austin, Texas. The Executive Assistant will work directly with LSJA’s Executive Director and Financial Consultant to complete a complex variety of tasks. We are seeking an Executive Assistant who is detail-oriented, highly motivated, hard-working, and embraces our mission and program goals enthusiastically. Excellent interpersonal, administrative, communicative, and organizational skills are essential for this position.

DUTIES: 
  • Provide comprehensive support services to the Executive Director, Financial Consultant, and other staff as needed; 
  • Manage scheduling and travel logistics; 
  • Communicate professionally with partners, clients, and office visitors; 
  • Maintain accurate electronic and hard copy filing system; 
  • Answer phone calls, take messages, and redirect when necessary; 
  • Conduct routine inventory of office supplies; 
  • General office maintenance and operation of standard office equipment; 
  • Use QB or other financial software to accurately record all financial transactions, including receipts and disbursements; 
  • Manage the Bill.com interface with QBO and the flow of information through Bill.com; 
  • Independently code transactions in the general ledger system; 
  • Perform reconciliation of bank, credit card, and other balance sheet accounts; 
  • Monitor transactions for compliance with LSJA policies and procedures financial; 
  • Coordinate proper substantiation of all credit card transactions; 
  • Produce invoices and grant reports; 
  • Assist Financial Consultant in monthly and annual close, budgeting, and audit preparation processes; 
  • Provide regular and adhoc financial statements to management; 
  • Other duties as assigned. 
 
 
QUALIFICATIONS: 
  • Associates degree in accounting, business, or a related field; 
  • At least 5 years of related work experience in lieu of degree; 
  • Ability to work well independently as well as within a team; 
  • Excellent written and verbal communication skills; 
  • Strong interpersonal skills with the ability to take initiative, multi-task, and adapt to shifting priorities; 
  • Must be computer literate with working knowledge of all Microsoft Office applications; 
  • Familiarity with QBO, Sage Intacct, NetSuite, Xero, or other cloud-based accounting software; 
  • Commitment to the continuous improvement of service quality and the organization’s mission.
